Why Business Data Consistency Is Critical

Verification platforms such as Google rely on cross-source consistency to assess the credibility of a business. If the information you provide matches what is available in public databases, the verification process runs more smoothly. Conversely, even the smallest difference can trigger delays or a rejection.

Data consistency is also important for financial audits, business loan applications, and the trust of partners or clients. A business with uniform information across all platforms appears more professional and trustworthy.

Business Data Audit: The First Step

Begin by creating an inventory of all platforms and documents that display your business information. This includes the company deed, NIB, NPWP, DUNS, website, Google Business Profile, LinkedIn, Play Console, and any other relevant platforms.

Create a simple comparison table with columns for: business name, address, phone number, contact email, and leadership name. Fill each row with data from the respective source. Any differences discovered are the priorities to fix.

  • List all platforms that display your business information
  • Build a comparison table of data from all sources
  • Identify every discrepancy, no matter how small
  • Establish the authoritative data source (usually the legal document)
  • Create an update schedule based on priority
  • Save evidence of updates for future reference

Recommended Update Sequence

Update legal documents first because they are the primary source of truth. If the company name or address has changed, update the deed and NIB before updating any other platforms. The updated legal documents then serve as the reference for updates everywhere else.

After legal documents are updated, move on to DUNS because changes to the D&B database take longer to process. While waiting for the DUNS update to be completed, you can begin updating digital platforms such as the website and Google Business Profile.

Updating Data on Specific Platforms

For NIB, updates are made through the OSS system by editing the already-registered business data. For DUNS, submit an update request through the D&B portal including documents that support the change. For Play Console, there is an option to update business information through the account settings menu.

Some platforms may require re-verification after a data change. For example, changing the business name in Google Business Profile may trigger a re-verification process. Anticipate this possibility when planning your update schedule.

Building a System for Long-Term Consistency

Once all data is consistent, establish procedures that ensure consistency is maintained whenever future changes occur. Designate one person or team as the responsible party for business data updates. Whenever a change occurs — such as an address change or new leadership — these procedures must be followed.

Create a standardized reference document containing official business information in a format that is easy to copy into various forms: the official name in standard format, the full standardized address, and a brief business description. Share this document with all parties who may need to enter business information on any platform.
