Business Data Mismatches

The most frequent cause is data that differs between the application form and the company's legal documents. For example, the company name on the form uses an abbreviation or variation not found in the deed of establishment. D&B will reject or seek clarification if it cannot reconcile the data.

The solution is straightforward: always use the business name exactly as it appears in the primary legal document. If your company has a trade name or alias, state the legal name first and list the alias as supplementary information.

Contact Information That Cannot Be Verified

D&B often performs verification via a phone call to the registered number. If that number is inactive, unanswered, or answered by someone who is unaware of the DUNS application, the verification process stalls.

Ensure the registered phone number is active, answered during business hours, and that the person who answers is aware of the DUNS application context. Where possible, use a fixed office line as the primary number.

  • Verify all data before submitting the form
  • Use the company name exactly as it appears in the deed
  • Confirm the phone number is active and consistently answered
  • Use an operational address that can be independently confirmed
  • Prepare supporting documents before they are requested
  • Monitor email daily after submission

Entity Already Registered with Different Data

Sometimes your business already exists in the D&B database because it was involved in a transaction with another company that reported your information. That data may be outdated or inaccurate. When you submit a new registration, D&B's system may detect a potential duplicate.

In this situation, you need to submit a claim process for the existing entity rather than registering a new one. The claim process requires proving that you are the legitimate representative of that entity, after which the data can be updated.

Documents That Do Not Meet the Standard

D&B requires documents that are clear, legible, and reflect the current state of the business. Documents that are blurry, incomplete, or expired will not be accepted. Scan documents at adequate resolution and include all relevant pages.

If documents are in Indonesian, an English translation by a sworn translator may be required. Ask D&B in advance whether a translation is needed for your specific situation.

Steps to Take After a Rejection

If an application is rejected, D&B typically provides a specific reason or requests additional information via email. Read the request carefully and address every point mentioned. Do not resubmit the same application without fixing the problems that have already been identified.

If no response arrives within a reasonable timeframe, proactively contact the D&B support team with your ticket number. Sometimes an application requires escalation to a senior verification team before it can be processed.
